Section A:  ABOUT ATS (1):

 

A1. What is ATS?

It is software used by most of companies to collect and filter (or select) resumes which are very close match to posted job description and forward only selected resumes to hiring department and leave (or discard) rest of them.

– ATS gives score from 0 to 10 or 0 to 100, 10 or 100 highest, 80 to 100 score has a very close match.

– If you like to have high score, READ JOB DESCRIPTION, PICK KEYWORDS and use in your resume, will explain in details, later on, in this blog.

– In ATS, multiple resumes of same applicant will be saved as one.

– ATS can check applicant is fake or genuine; it can blacklist or give low numbers.

 

A2. Why Do You Have To Know About ATS?

If your resume is not compatible with ATS, it will not get selected and will get lost at the beginning of job application process.

 

A3. How to Make Your Resume Compatible with ATS:

 OR how to make a Computer-Friendly Resume? In connection to this question, will start with what to avoid and what to include in our resume:

 

A3a. What to avoid in the resume for ATS?

With respect to resume format (or style):

  1. No fancy resume, no graphics and no pictures.
    2. Do not use tables or columns or charts.
    3. Do not use italics or underlining or long vertical lines in-between lines or paragraph or section.
    4. Do not use special symbols or special characters or accents or styles.
    5. Avoid using headers and footers.

 

With respect to content, in details will discussed later?

– Avoid Serif fonts = Fonts which has feet, like Times New Roman, or also called OCR = Ocular Character Recognition.

A3b. What to include in the resume to make it ATS compatible?

Formula: Selection of right keywords = Key to success in ATS

What are keywords?

Let’s understand it with an example, if we like to look something over Internet, we write some close matching words in search engine to get our desired results; those closing matching words are keywords.

Where to find keywords?

There are few places in the posted job where you can find keywords and use them in your resume:

  • Pay attention to job title, critical skills, industries, products, bullets and clients.
  • Look into and recommend qualification and minimum qualification.
  • Pay particular attention to job description.

How do you decide which keywords to use?

You can look into places mentioned above and pick and choose or you can copy paste job description into the given below keyword selection tools or website and they will provide us keywords.

SPECIAL NOTE:

– Create a Master Resume and tailor your resume to the job description ever-single time or customize     your resume for each position. Again; please do not forget, “We must edit our resume each time when applying to a different position”.

 

 

A3c. Apart from Keywords other important factor to consider:

–  First 25% page of your resume is for ATS.

–  Use the same words as the job description and match your resume keywords to the job and especially include keywords in job title, skill section and then in experience section (if possible, match your current job title to the position you are applying for, do a bit of positive trick or tweak).

– Boring is best the format for ATS, but do not make it all boring, as once passed ATS, human going to read it.

– Align your resume text to left.

– Paper size, Letter or A4.

– Match every required requirement in your resume

– Language Matching.

– Clearly segregate each section, Simple, Clean and Neat.

– Do not include objective, it tells what you want, instead telling what you can provide to the recruiter.

– User standard sections titles, such as; skill, education and experience or use standard resume headlines like” Work Experience” rather than something like” Where I’ve Been”.

– ATS = Scans Hard Skills (i.e Technical skills) and Soft Skills (i.e Communication skills).

– Prefer bullet points over long descriptions (use basic round bullet style).

– Use Sans Serif fonts = Fonts without Feet, for example Calibri or use simple fonts.

– Use synonyms, use both short & long form of special keywords, for example: Microsoft Certified Systems Engineer – MCSE.

– User a hybrid or chronological resume format.

– Save your resume as a .docx or .doc or .txt file, can save in PDF but not recommended.

on top of that, if any job application portal asked to input job related data in their field or application system, you must fill it up and select all the option that are relevant to your job application and do not leave them blank because that’s what ATS going to read.

 

 

 

Section B: ALL ABOUT RESUME WRITING (ATS Compatible):

 

B1. Special Note:

– Create a Master Resume/document which includes everything you’ve ever done and tailor your resume to the job description ever-single time or customize your resume for each position, please remember, we must edit our resume each time when applying to a different and keep track of all applied jobs, for example, which resume used, applied date, how did you find the advertised job, user name and password used on the job application portal, outcome so far and etc. create password protected spreadsheet/excel sheet and have all info saved in it.

 

B2. Resume Writing – Points of Consideration:

 

You have 6 seconds; what does it mean, human will look at your resume’ first half of the page within this time they will decide whether they will go through the rest of your resume/CV or not or say in short, “The top third of the page should be A SNAPSHOT therefore in the top third sum up what hiring people need to know about.”

– Whole document is a marketing pitch.

– Take your time to write resume.

– You must know that, what type of job are you targeting? and why are you QUALIFIED for it? And apply for roles that you are very delighted with.

– You need to include the sections that highlight your best possible self.

– Do not include objective, it tells what you want, instead telling (i.e summary) what you can provide to the recruiter

– Add Linkedin Profile, if it is really good and maintained all the time.

– Always analyze the job description and align their heeds with your accomplishments or in simple words analyze the job description; pick up only the built point that matter or the information that matters.

– Create a Clear Structure (Simple and Easy to Navigate, Engaging Content, Clear Concise Section Headings)

– Apply one application per week.

– Length of CV: 1 or 1 and half page.

 

 

B3. RESUME STRUCTURE  with points to consider before writing each section of your resume:

 

For Human:

Great white space + clear headings + consistent formatting + a font not too big or small + no typo or misspellings

 

For ATS:

Avoid: Colum + Pictures + Graphs + charts + Tables.
Instead: Clear section heading + paragraphs and bullet points.

  1. Summary:

– Quick summary: Explain what you do in two lines and bullet points.

– Summary must start with title, the career you are applying for or current job title and must represents, a powerful career summary, what you’re great at and passionate about and why you’re qualified.

– Summary is all about THE COMPANY AND THEIR NEEDS, must show how you are going to solve company’s biggest pain points, remember, “You are not listing what you are looking for in your ideal position”.

– Include two or three or four sentence, explain how your professional background, training or experience.

– JUST Below the three to four sentence of summary, make three built points as a career highlight some of your proudest achievements across your entire career. can write, projects, awards and even specialized training that make you who you are and what you have to offer.

– Make sure to include keywords (got from posted job description, discussed earlier) in your summary.

– AVOID: looking to grow my industry or wanting to take the next step in my career

– If do not have enough experience, include core competency section, not only will this impress an employer, it will help ATS, include your hard and soft skills.

 

  1. Skills:

– Under title/summary, include three key skills, key skills must be found in the JOB DESCRIPTION and MUST BE SKILLS AND ALREADY POSSESS.

ATS Looks = Scans; Hard Skills (technical skills or (you did training or certification)) and Soft Skills (communication skills or personality trade).

 

  1. Work Experience:

– In work experience:

            company name

            title (It is OK to twice (close match) your current job title, to the position you are applying for)

            time period with months (2 digits) and (/) full year (4 digits)
             (job duration will be counted as experienced time)

– Write small para which describes roles and responsibilities, after that, use bullets point (or bragging points) underneath.

 

FORMULA:  Result-Driven Achievement Statement = Action Verb + Task + RESULT

 

FORMULA:  The X-Y-Z Resume Bullet Point: Accomplished [X] as measured by [Y], by doing [Z]

 

– Writing summary or work experience is also about Personal Branding, It is first, knowing who you are, knowing your strengths, knowing the value you bring, knowing how you energize people, knowing what help you can offer to them to get desired result.

– Customize work experience for the role you are applying for.

– Must include keywords in every part of work experience.

– Always analyze the job description and align their heeds with your accomplishments.

– Include quantifiable results driven achievement statements, do not list of responsibilities only, include quantifiable metrics as part of your achievements, be able to identify what you’ve done in the past, that will be able to assist companies to realize what you can do for them in the future.

– Task you performed but also the results you’ve achieved.

 

Example: Marketing example: you achieve your monthly target by 10% by having round table discussions with key stakeholders.

 

– Instead of writing list of skills, WRITE, Creative edge/statements, that describe what you did, how you did it, who you did it for, and what the benefit was, how did it benefit, what was the value of what you did. For example, project, discuss, how you manage projects, what you’ve done, the tools that you’ve used to manage those projects and the success rate that you’ve had with those projects.

For example instead of writing, Leadership Skill, Write an accomplishment statement about how you are good at project instead.

– Use words like, Strong, Compelling Sense, Use Adverb, for example: successfully efficiently, mastery proficiency, competency etc.

–  Leverage the experience you do have with measurable results.

– Feather vs Benefits, Feature are like the job duties and the tasks and Benefits are the result of impact it had.

– Include words like: increase sale, decreased cost, improved customer rating, number of new clients acquired, created a faster or more efficient workflow, increased social media followers, increased marketing conversions and list goes on and on an on.

– AVOID Irrelevant Content,  such as work experience not related to job and also avoid using buzzwords and cliches, such as, Detail-oriented, Team players Creative motivated, Passionate, etc. for more of these words, please search over the internet, using keywords, “resume cliches and buzzwords and remove all”.

 

Example (Feather vs Benefits):  cellphone/ipod, instead of saying,

Storage for 1GB of MP3x,  a big company said, 1000 songs in your pocket.

Example: Instead of writing: Held fundraising event with external speakers, write: Lead a team of our to plain and facilitate an event, with 5 external speaker, 600+ attendees and fundraising $4500.

Example: Instead of writing: Managed HR division for the department, write: Strategically managed HR for 500-employee division, reducing annual employee turnover to 11%.

Example: Helping pediatric cancer patients and their families feel at ease throughout treatment and recovery.

Example: Helping software start-ups manage their communities on social media to boost brand reputation & drive sales

Example: Instead of writing: Managed instagram account for small clothing retails company, write:
Increased instagram following by 50% within six months leading to increased revenue as well new partnership opportunities

 

  1. Certificate and educations

– Do not put more than 10 year of education

  1. Language and Hobbies

AND:

– Do not fake

– Photos are optional

– can include extra sections or extra skills or technical skills that highlight your best possible self, if needed.

Such as: certifications, language competencies, community work and honors and awards.

Extra skills: management + logistic and supply chain + customer service event communication / If any online course, include, that show you can adaptable a new technology.

– Next step is to make it readable, if possible convert resume in to TXT format to see or get an idea, how ATS going to see your resume.

After writing you resume, ask opinion from friends and family member, if they say, looks good, it means, “NOT OK”, you must hear from them,  “WOWWW HOW DID YOU DO THAT”, now that means it is OK.

B4. ENTRY LEVEL RESUME WITH NO OR NOT ENOUGH WORK EXPERIENCE:

Entry level resume page length: 1 page of resume, if like to add second page, write “Rest of what you need?”

If no work experience: In Work experience section includes projects, internship, extracurricular activities, academic achievements, professional memberships, etc.

If do not have enough work experience Include volunteer work  and core competency section, not only will this impress an employer, it will help ATS, include your hard and soft skills.

 How to Answer:

Question is so-open-ended, you can answer in so many different ways, people aren’t sure what the best way is – so people, tumble , falter, they talk too much about ancient history, that’s a terrible way to start an interview, by fumbling around and sounding confused, or worse boring your interview.

INSTEAD, embrace this question because;

– Answering this question well is one of the most effective things you can do in the entire interview.

– Start with top selling points for the position and that’s going to be different between job to job.

– Give little bit of your personality

– Interest in the opportunity along with your selling points.

Note: You want to sound natural and spontaneous while also covering the points that you want to communicate to make the best possible impression.

STEP-1: Who are you?

 

You need to start strong and try to get their attention before getting into details, and divert this question in such as way by telling them how you want them to see.

Lead with what’s most impressive about you right now, a reference to their current position, as well as an overview of the breadth and depth of their related experience.

For Example:

– Well, I’m a recent Columbia MBA graduate with a strong background in the pharmaceutical industry.

– I’m an experienced HR executive who has managed all aspects of the HR function from recruiting to training to benefits.

 

STEP-2: Why You’re Qualified? (The emphasis is on relevant experience and proof of performance)

 

The idea here is to plan in advance which details to share that are most likely to knock the socks off of this interviewer.

Focus on 2-5 points that you’d like to make. The goal is to keep it under two minutes in total, that could be classic reverse chronological overview of your last few positions or it could be a list of key accomplishments tailored to the job requirements.

For Example:

– I spent the last six years developing my skills as customer service manager for abc mega company, where i won several performance awards and I’ve been promoted twice. I love managing teams and solving customer problems.

Overall answer should not be longer than two minutes.

 

STEP-3: Why You’re Here? (To express enthusiasm for the position in one may be two sentences) Keep it short and sweet.

 

For example: Although i love my current role, i feel I;m now ready for a more challenging assignment and this position really excites me.

If you can make it a bit more specific for the job even better, you can show them later that, you research the company, to show why you’re a great fit for the role.

The goal in this moment is to wrap up your pitch in a concise, confident way and show your enthusiasm.

 

FINALLY: Once you’ve got bullet points for each of the three steps, it’s time to put them all together into a polished powerful elevator pitch.

 

Final Example:

I have more than five years’ experience at a technical project manager at top Wall Street companies. Most recently, i helped develop an award-winning new trading platform. I’m a person who thrives in a fast-paced environment, so right now, I’m looking for an opportunity to apply my technology expertise, along with my creative problem-solving skills, at an innovative software company.

 

TIPS:

WHEN ASKED ABOUT WHAT YOU DID SOMEWHERE, you’re not just going to rattle off the duties that any human would have done in the position.

INSTEAD: You’re going to focus on what you did that was above and beyond. Accomplishments competencies, all of it tailored to what’s relevant to the job description.

How to Answer:

– Speak in a natural way about our flows and insecurities with added diplomacy.

– Briefly describe a real weakness that wouldn’t be a major handicap on the job.

– While describing your weakness, keep under-consider to embed in your discussion that, How you are already working on improving your weakness. (Critical component, discuss your proactive efforts to improve, shows you’re self-aware, have a drive towards your best, and that the weakness will not slow you down)

 How to Answer: Pick a real example of a time you failed. Explain how you understand where you went wrong and what you learned from the failure.

 

Formula: STAR = Situation -> Task -> Action -> Result

S (Situation) = T (Task) = “Beginning of your story” => Describe the event of challenge you faced.

A (Action) = “Middle of your story” => Describe the action steps you took to solve the problem.

R (Result) = “End of your story” => Explain the result you achieved from solving the problem.

 How to Answer:

– Choose a specific challenge or difficult situation that you were in.

– The moment should relate to the job

– Keep it positive.

5 Dangerous Things to Avoid Saying in a Job Interview:

  1. Never say that do/did not like your job or boss.
  2. I will do anything, whatever you want me to do.
  3. Tell me about yourself, do not say, i am self-starter, quick learner instead, say how i lead people, how can i do this.
  4. Do not say, I do not know how to do that, instead, let me think about this, connect to something which is similar and i can do this too.
  5. Do not ask a company, what you do over here. do you research.

– Think, if you are going to interview someone for the same job, what you should ask, write it down.

– Do not just say that, I am looking for job, show you are interested in the job.

– Before you go for 2nd interview: Make sure you have a plan, prepare 3 to 6 months plan how you are going to solve their issues, let them know you understand their challenges, their pains, their hurdles.

– Give them a good firm handshake and look them in the eyes and smile, show you teeth, show them you’re happy person’ you are happy to be there.

– While you are talking, just smile and this is going to relax you.

– Make a smile on your notes, that will remind you whole time.

– If they are looking for a team player, don’t just say i am a team player, let them know, you are a teacher or leader, how you make a team.

– Show them that you like to share the knowledge.

– Specify examples from you work.

 

At the end,

– “Think confident, act confident, be confident”.

– “Good, better, best, never let it rest, until your good is better and your better is best”.
